II. WHAT IS PERSONAL INFORMATION?
For purposes of this Privacy Statement, “Personal Information” or “Personal Data” means information that alone or in combination identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular consumer or household. Imprecise Geolocation Data We may collect general location information—such as city, state, zip code, and country—based on your device’s IP address when you interact with our website, app, or digital platforms. This type of geolocation data is imprecise and does not identify your exact physical location. Sensory Information During our worship services, events, and ministry activities, we may take photographs and video recordings of attendees, volunteers, and staff. These recordings might be used to celebrate community, share updates, promote upcoming events, or extend our ministry through online platforms like livestreams, social media, or our website.
We respect the dignity and privacy of all people. Whenever possible, we ask for permission—especially when images or recordings prominently feature individuals or are used for promotional use. We are especially careful when capturing or sharing media involving children, youth, or vulnerable individuals, and we honor requests to opt out or remain unrecorded.

Employment Information We collect Personal Information such as your name, address, email, and phone number when you apply for employment with us.
Additionally, we may collect information related to your demographics, education, and employment history when you submit it as part of an employment application. Not all requested information is required, however, and we specifically indicate what information is required to submit your employment application.

For faith-based initiatives:

This may involve sharing anonymized or aggregated data with affiliated ministries or Service Providers to strengthen our collective impact.

We may use analytics tools and targeted messaging to ensure that our communications are meaningful and timely. While we do not engage in commercial advertising, we may share information with Service Providers who help us deliver these messages effectively.
Security We may disclose personal information when necessary to help ensure the safety and security of our guests, visitors, staff, and volunteers. This includes measures to protect our physical spaces—such as church buildings, event venues, and ministry sites—as well as our digital platforms, including our website, mobile app, and any systems used to collect or store personal data. Information may be shared with security personnel, technology providers, or affiliated ministries to prevent unauthorized access, respond to incidents, and maintain a safe and welcoming environment for all who engage with our church.
Government and Law Enforcement We will cooperate with law enforcement and other governmental agencies and may disclose Personal Information: (i) if we believe in good faith we are legally required to disclose that Personal Information, (ii) if we are advised to disclose Personal Information by our legal counsel, or (iii) when necessary to identify, contact or bring legal action against someone who may cause or be causing harm to, or interfering with the legal rights of, The Potter’s House or any other person or entity.
Professional Advisors We may disclose personal information to our professional advisors—including attorneys, accountants, financial consultants, and other trusted experts—when necessary to receive guidance in their capacity as advisors to the church. These disclosures help us ensure that our ministries and operations are conducted with integrity, in compliance with the law, and in a manner that promotes sound stewardship. Advisors may assist us in matters such as financial reporting, employment practices, governance, risk management, and other areas where specialized counsel is needed to support the health and sustainability of our church community.

VII. DATA RETENTION
We retain your Personal Information for as long as necessary to support the Services you have requested, comply with applicable laws and regulations, and uphold our commitments. If we receive a verified request under an applicable privacy law to delete your Personal Information earlier, we will honor that request in accordance with legal requirements. Where permitted by law, The Potter’s House may retain certain data longer if doing so serves a legitimate ministry or operational purpose and does not override your individual rights and freedoms.

VIII. DE-IDENTIFIED/AGGREGATED DATA

We may aggregate or de-identify Personal Information collected through our Sites or our App, as well as during our business operations. Once information or data has been de-identified or aggregated, it is no longer considered Personal Information. The Potter’s House may use or share such de-identified or aggregated data for any legal purpose at its sole discretion.

IX. NOTICE OF PHOTOGRAPHY AND RECORDING

The Potter’s House provides and hosts various live and online interactions for member and guest experiences, including, but not limited to, in-person and live-streamed worship services and events. By attending a The Potter’s House service, event, or program (hereinafter separately and collectively referred to as “The Potter’s House Programs”), wherever located, you acknowledge that you are entering into an area where you and any minors appearing with you may be photographed, audio recorded, and/or video recorded with or without your knowledge.

Your attendance and presence at any The Potter’s House Program, wherever located, constitutes your consent for yourself and any minors appearing with you to be photographed, filmed, and/or recorded without restriction. You agree and consent that any photographs, films, or recordings shall become the property of The Potter’s House and may be used, published, and/or reproduced for any lawful purposes whatsoever, including, but not limited to, on The Potter’s House’s websites, promotional videos, social media, and advertising. By appearing at any The Potter’s House Program, you waive any claims, causes of action, or damages of any kind that you may have related to the use of recorded media on behalf of you and any minors appearing with you.

If you do not wish for yourself or any minors appearing with you to be photographed, filmed, and/or recorded, please do not attend The Potter’s House Programs in person, as The Potter’s House cannot guarantee that you and any minors appearing with you will not be photographed, filmed, and/or recorded. Instead, The Potter’s House invites you to access pre-recorded or virtually streamed The Potter’s House Programs on our website from the comfort of your home.

X. GIVING

If you choose to provide a donation through one of The Potter’s House Sites, you will be prompted and required to provide the necessary credit card, bank account, and other financial information to process the transaction. We will collect the designation for your donation if you provide one, and personal information such as your name, address, phone number, and/or email address to ensure that your donation is used for the purpose you request and to provide you with an annual giving statement that itemizes your donation(s). We will also contact you periodically to inquire if you would like to give to another program, location, or cause. We may contact you through push notification, email, mail, or in-app messages to share these opportunities.

This information, excluding your financial information, is stored in our databases. As of the date of this Policy, we use Stripe, PayPal, Payroc World Access, LLC, and iDonate LLC to process your online donation payments. All donations made to The Potter’s House are considered final and non-refundable. As a nonprofit ministry, we deeply appreciate your generosity and commitment to supporting our mission. Donations are used to further our spiritual, charitable, and community outreach efforts, and cannot be returned once processed.

XI. PURCHASES AND REFUNDS

For The Potter’s House Sites, where you are able to purchase branded clothing and other items, including the on-line store, your personal and financial information is provided and shared with our third-party contractors that we use to process your order. The third parties are identified at the time of your purchase. For information on how those companies use, store, maintain, and disclose your information, please refer to their respective privacy policies or contact them directly.

For physical products purchased through our online shop or at events, we strive to ensure quality and customer satisfaction. If you receive a defective or damaged item, we will gladly offer an exchange for the same product or a comparable item, subject to availability. XII. SITE ANALYTICS, COOKIES, AND OTHER TRACKING TECHNOLOGY

We use analytics services and targeted advertising cookies in addition to location features that are connected to your use of the Services. We use cookies, web beacons, pixel tags, and other technologies (collectively, “Cookies”) on our Services to automatically collect information that helps us improve the Services and advertise to you. As part of our commitment to serve you with grace and efficiency, we partner with a trusted third-party service provider to offer an online chat feature. This tool enables our ministry to address your questions and concerns with care, utilizing technology guided by artificial intelligence to facilitate timely communication.
By engaging with the chat feature on our website, you consent to the collection, use, and processing of your information by our service provider, which acts on our behalf. We treat all personal information shared through this feature, including chat transcripts, account or order details, and contact information, with the utmost respect and in accordance with this Policy.

D. Geolocation Services

An App may utilize location services on your mobile device to collect and use location data, including the real-time geographic location of your device. If you consent to the App’s utilization of location services, we may use GPS, Bluetooth, your device’s unique identifier, and/or your IP address, along with Wi-Fi and cell tower locations and other technologies to determine your device’s geolocation. This location data is utilized to deliver Services requested by you. We do not maintain a history of a device’s location, only its current location at any given moment. We will collect geolocation data only if you consent, and we will notify you whether location services will be running continuously or only when the App is in use. You may choose to disable location services through our App or your mobile-enabled Wi-Fi devices, but if you do so, you will not receive any notifications or services that require geolocation. The Potter’s House Sites have a wide array of functionality, including streaming video, creating prayer requests, and identifying and communicating with The Potter’s House leadership, groups, and teams. Some of The Potter’s House Sites may also allow you to publish, distribute, and display content to specific individuals or the public. We will refer to how you provide content and information as “posted” and the content and information posted as “user contributions.” User contributions may be made in public areas of websites and social media accounts accessed through our sites or may otherwise be transmitted to third parties. We process your user contributions to facilitate your ability to create, use, store, and distribute user contributions as you choose. We will associate your user contributions with your account if you opt not to delete them.

If you disclose personal information, whether through collaborative postings, social media, message boards, or otherwise, this information may be collected and used by others. Tell A Friend. If a user elects to use our referral service to inform a friend about our site, we request their friend’s name and email address. Thepottershouse.org will automatically send the friend a one-time email inviting them to visit the Site. Thepottershouse.org stores this information for the sole purpose of sending this one-time email.

XVIII. COMPLIANCE WITH COPPA

Our Services are not intended for use by children under thirteen years of age. We do not knowingly or intentionally collect personal information from individuals under age 13, and The Potter’s House Sites are not designed for or directed to children under the age of 13.
